Access Policy

The Presbyterian Historical Society serves as the repository for materials created by governing bodies and agencies of the Presbyterian Church (U.S.A.), the antecedents of those governing bodies and agencies, and related and ecumencial organizations, and the personal papers of prominent Presbyterians. The creating body or its legal successor retains ownership of the records, with the exception of organization records and personal paper collections, which are legally owned by the society. The use of archival records entrusted to the department is a privilege. The following restrictions on public access were created in collaboration with the entities retaining ownership of the records.

UNRESTRICTED

The following records are open and may be photocopied unless, in the judgement of the reference staff, they are too fragile:

Published materials

Processed personal papers and organization records, unless specifically designated restricted on the finding aid

Official records more than fifty years old of Presbyterian Church entities

Congregational registers.

RESTRICTED

Official records less than fifty years old and greater than twenty five years old (including congregational minutes) are available to researchers only with the written permission of a representative of the body that owns or created the records. Contact names are available from the reference staff. It is the researcher's responsibility to obtain permission. Microfilm copies of these records are likewise restricted. When microfilm is available, it will be used rather than the original for preservation reasons.

CLOSED

The following records are not available to researchers:

Archival materials less than 25 years old

Unprocessed archival materials

Microfilm master negatives.

Recommendation forms, in-service job evaluations, and medical forms found in personnel (H5) files. Direct descendants or immediate family members can be granted permission to access to medical records.

Unpublished Permanent Judicial Commission case briefs less than fifty years old from the date the decision is certified by the PJC.
