Rules and Information for Researchers

Welcome to the Presbyterian Historical Society. In order that we may serve you and others more effectively, please observe the following guidelines:

General

1. Our facilities are open to the public 8:30 a.m. to 4:30 p.m., Monday through Friday, and closed on weekends, most holidays, and occasionally for staff inservice days. Please call in advance to check for possible closings.

2. There is limited off-street parking available. Please check with the receptionist about access.

3. Please sign the register at the receptionistĚs desk each day.

4. Briefcases, computer cases, book bags, and purses must be left in the lockers.

5. Food, drink, and smoking are not allowed in the building.

6. The staff is available for general reference and assistance. Due to our volume of work, the time we can spend with any one researcher is limited, and we cannot engage in research (as opposed to reference assistance) for our patrons.

Access to Materials

1. Materials are located through the catalogs and databases. Processed archival records and personal papers are further detailed by finding aids. The finding aids and the electronic portion of our catalog are accessible through our website.

2. Due to the rare, unique, and fragile materials in our holdings, this is a “closed stack” repository. Material (with the exception of reference books shelved in the reading room) should be requested by filling out a call slip (located on all tables) and bringing it to the reference desk.

3. Material will be brought to you as quickly as staff duties permit. We are unable to retrieve materials after 4:00 p.m. Use is limited to one box, volume, or folder of materials at a time. Additional materials will be held at the reference desk until you return your item.

4. Manuscript and microfilmed official church records less than fifty years old are restricted. Some collections of personal papers are also restricted. Patrons wishing to use restricted records must obtain written permission from the owner of the records. For further information, consult the reference staff.

Use of Materials

1. Please use pencils for taking notes as pens are not allowed in the reading room. Extra pencils are located on all tables. Laptops are welcome in the reading room and outlets are accessible under each table.

2. Some of our materials are very fragile. You may be asked to wear gloves, use foam supports for bindings, or use microfilm to protect the originals.

3. Materials should be placed flat on the table or properly supported, never propped up at an angle or laid face down. When appropriate, staff will provide supports for your use. Do not take notes on top of the materials.

4. Do not remove documents or photographs from archival folders. (See below for photocopying).

5. Do not mark, fold, alter, or rearrange materials. If you think something is out of order or incorrect, notify the staff member at the reference desk.

6. Do not reshelve books from the reference collection. Leave them on the tables in the reading room. Return all other materials to the reference desk by 4:15 p.m. If you need assistance in returning boxes, please notify reference staff.

Reproduction of Materials

1. If you wish to have photocopies, photographic reprints, or digital images made, consult a staff member. Staff will determine whether an item’s condition permits reproduction and show you how to “flag” materials.

2. The staff reserves the right to deny photocopying if it may cause additional damage to fragile books or documents. Your cooperation will assure the preservation of records for future generations.

3. All reproduction is done by staff. Use of digital or print cameras, scanners of any kind, or portable photocopy machines is not allowed in the reading room.

4. Photocopying is done as staff time and resources permit and in the order received. Copying for the day ends at 4:00 p.m. If your copy order is not completed by your departure, we will notify you of the cost and after payment is received, ship the copies to you.

5. Under the fair use provision of the copyright law of the U.S. (17 USC 108), libraries are authorized to produce copies for reference use only. Unless permission is granted, copies you receive from the society or their content may not be reproduced or in any way used by unauthorized persons or placed in collections of any institution or individual. Researchers are responsible for any infringement of copyright or libel law.

6. Researchers wishing to quote, beyond fair use, for publication from archival and manuscript records must obtain permission from the Deputy Executive Director.

Fees

Contact the Philadelphia office for photocopy fees.

Photograph reproduction: Photographs owned by the department may be reproduced. Orders for duplication are processed by a local commercial laboratory. See a staff member for prices.

There is an additional $25 per photograph charge for academic or commercial publications. (This fee is waived for PC(USA) congregational publications). You may not take your own photograph of a photograph. Please give credit for the photograph as "Presbyterian Historical Society, Philadelphia, PA" or "Presbyterian Historical Society, Montreat, NC."

Citations

As a service to future scholars and researchers, you should properly cite all materials used in your research.
